Privacy Policy

1. Who we are

Adchiefs is a performance marketing and creative agency operating from Abaseieh, Al Bardan Building, Tyre, Lebanon. We operate the website adchiefs.com. This policy explains what personal data we collect, why we collect it, and what rights you have.

2. Two different roles

We handle personal data in two distinct capacities and your rights differ depending on which applies.

As a controller we decide how and why data is used. This covers visitors to adchiefs.com, people who submit enquiries, subscribers, and the individual contacts at our client companies.

As a processor we handle data on behalf of a client under their instructions. This covers customer lists, advertising audiences, analytics data, CRM records, and store data inside platforms we manage for that client. If your data sits in a client system that we operate, the client is the controller. Send your request to them and we will support their response.

3. What we collect

From website visitors and enquiries. Name, email address, phone number, company name, website address, and anything else you type into a form, book into a call, or send us by message.

Automatically when you visit. Standard server log information such as IP address, browser type, device type, and the pages requested. This is generated by our hosting provider to deliver the site and protect it from abuse.

From clients during an engagement. Business contact details, billing information, access or delegated permissions to advertising accounts, analytics properties, ecommerce stores and CRM systems, and any files or data you share with us so we can deliver the work.

We do not knowingly collect special category data such as health, religious belief, or political opinion. Please do not send it to us.

4. Why we use it and on what basis

  • To respond to your enquiry and prepare a proposal. Basis: your request and our legitimate interest in doing business.
  • To deliver contracted services, including building, running and optimising campaigns, websites and stores. Basis: performance of a contract.
  • To invoice, collect payment and keep accounting records. Basis: contract and legal obligation.
  • To send marketing emails, case studies and offers. Basis: consent, or legitimate interest where you are an existing client. You can withdraw at any time using the unsubscribe link.
  • To protect our business, enforce agreements and defend legal claims. Basis: legitimate interest and legal obligation.

5. Cookies

We do not run tracking, analytics or advertising cookies on adchiefs.com. The only cookies set are the strictly necessary ones our website platform uses to serve the site and process form submissions. You can block or delete cookies in your browser settings at any time without losing access to the site.

This applies to adchiefs.com only. Other properties we operate, and the websites we build and manage for clients, run their own tracking and publish their own policies.

6. Who we share it with

We do not sell personal data. We share it only with:

  • Service providers who process data on our behalf, including website hosting, email delivery, CRM and marketing automation, cloud storage, scheduling and accounting tools.
  • Advertising and ecommerce platforms where an engagement requires it, including Meta, Google, TikTok, Snap and Shopify.
  • Payment and money transfer providers used to collect our fees.
  • Professional advisers such as accountants and lawyers, and authorities where the law requires disclosure.

7. International transfers

We are based in Lebanon and use service providers located in the United States, the European Union and the Gulf. Your data will be transferred outside your country of residence. Where a transfer involves data protected by the GDPR or the Saudi Personal Data Protection Law, we rely on the transfer mechanisms permitted under those laws and require our providers to apply appropriate safeguards.

8. How long we keep it

  • Enquiries that do not convert: up to 24 months from last contact.
  • Client records and deliverables: for the duration of the engagement and 7 years afterwards, or longer where accounting or tax law requires it.
  • Marketing subscribers: until you unsubscribe, then a suppression record so we do not contact you again.
  • Client platform access: revoked at the end of the engagement. We do not retain copies of client customer databases after handover unless the contract says otherwise.

9. Your rights

Depending on where you live, you may have the right to access the data we hold about you, correct it, delete it, restrict or object to how we use it, receive a copy in a portable format, withdraw consent, and complain to your national data protection authority.

To exercise any of these, email info@adchiefs.com. We respond within 30 days. We may ask you to verify your identity first. Where the data belongs to a client engagement and we act as processor, we forward your request to that client.

10. Security

We use access controls, encrypted connections, two factor authentication on business critical accounts, and least privilege access to client platforms. No system is completely secure. If a breach affects your personal data and creates a real risk to you, we will notify you and the relevant authority as the law requires.

11. Children

Our services are business to business. This website is not directed at anyone under 18 and we do not knowingly collect their data.

12. Changes

We may update this policy. The date at the top shows the current version. Material changes are notified by email to active clients and subscribers.

Refund Policy

1. Scope

This policy explains when fees paid to Adchiefs are refundable. It applies to one off audits, monthly consulting and retainer engagements, done for you campaign management, and project work such as website builds, Shopify development, branding and creative production.

How to end an engagement and what happens when it ends is covered in our Cancellation Policy. Where a signed service agreement or statement of work conflicts with either policy, the signed agreement takes priority.

2. Fees and advertising spend are separate

Our fees pay for our time, strategy, creative and management. Advertising spend is paid by you directly to the advertising platform, or funded by you and passed through to the platform.

Advertising spend is never refundable by Adchiefs under any circumstances, including underperformance, account suspension, platform policy enforcement, ad rejection, or billing errors made by the platform. Refunds of media spend are a matter between you and the platform.

3. One off audits and strategy products

These are paid in full before work begins.

You receive a full refund if you cancel before we begin the work. Once we have started, no refund is available, because the deliverable is our analysis and it cannot be returned.

If we fail to deliver the agreed deliverable within 5 business days of receiving the access and information we requested from you, you receive a full refund.

4. Monthly retainers and consulting

Retainers are billed monthly in advance.

We do not issue partial or pro rata refunds for a month already started. Work continues through the end of the notice period set out in the Cancellation Policy and you receive the deliverables for that period.

If we end the engagement without cause part way through a paid month, we refund the unused portion of that month on a pro rata basis.

Where we terminate for non payment, abusive conduct, illegal activity, or an instruction that would breach advertising platform policy, no refund is due.

5. Project work

Websites, Shopify builds, branding and creative production are quoted with a deposit and milestone payments.

The deposit reserves capacity and covers discovery. It is non refundable once work begins.

If a project is cancelled part way through, you pay for all work completed and in progress up to the effective cancellation date. Any balance already paid above that amount is refunded within 15 business days.

Revisions are included as stated in the statement of work. Additional rounds, scope changes and new requirements are billed separately and are not grounds for a refund.

6. Performance

Advertising and conversion results depend on factors outside our sole control, including your offer, pricing, stock, fulfilment, market conditions and platform policy. Unless a specific written performance term is included in your signed service agreement, results are not guaranteed and underperformance alone is not grounds for a refund of fees already earned.

7. Chargebacks

If you dispute a charge, contact us first at info@adchiefs.com. Filing a chargeback without contacting us is a breach of this policy. We will contest it with the signed agreement, delivery records and platform data, and we may suspend all work and revoke access immediately.

8. How refunds are paid

Approved refunds are issued within 15 business days to the original payment method or by bank transfer, in the original currency. Bank charges, transfer fees and currency conversion losses are deducted from the refunded amount.

9. Governing law

This policy is governed by the laws of Lebanon. Disputes are subject to the exclusive jurisdiction of the courts of Beirut.

Cancellation Policy

1. Scope

This policy explains how to end an engagement with Adchiefs, when the cancellation takes effect, and what happens to your accounts, access and deliverables afterwards. Money owed and money returned are covered in our Refund Policy. Where a signed service agreement or statement of work conflicts with either policy, the signed agreement takes priority.

2. How to cancel

Cancellation must be sent in writing to info@adchiefs.com by the person named as the authorised contact on your service agreement.

Messages sent through WhatsApp, Instagram, Slack, or verbally on a call are not valid cancellation notice. We will always ask you to confirm by email.

Your notice period starts on the date we acknowledge your email in writing, which we do within 2 business days.

3. Monthly retainers and consulting

Either party may cancel with 30 days written notice.

The engagement ends at the later of the end of your current paid month or the end of the 30 day notice period. You are invoiced for any month that begins inside the notice period.

We continue to deliver the agreed scope through the final day. We do not launch new campaigns, new creative concepts, or new builds during the notice period unless both sides agree in writing, because there is not enough runway to test and optimise them properly.

4. Project work

Website builds, Shopify development, branding and creative production may be cancelled in writing at any time.

Work stops on the effective date and we issue a final invoice covering everything completed and in progress up to that point.

Deliverables are handed over only once the final invoice is settled. Until then, drafts, files and staging environments remain our property and are not licensed for use.

5. One off audits and strategy products

These may be cancelled at any time before we begin the work. Once the work has started the engagement cannot be cancelled, because the deliverable is produced in a single pass.

6. Pausing instead of cancelling

An engagement may be paused once for up to 30 consecutive days, requested in writing at least 7 days in advance.

Fees are suspended during an agreed pause. We do not hold your slot beyond the agreed pause window, and a pause longer than 30 days is treated as a cancellation.

Media spend, platform subscriptions and third party tools billed in your name continue unless you switch them off yourself.

7. What happens when the engagement ends

  • We deliver a written handover covering account structure, active campaigns, tracking setup and open items.
  • Campaigns are paused or handed over live, whichever you request in writing before the final day.
  • We remove our users and partner access from your advertising accounts, analytics, store and CRM within 5 business days of the final day.
  • Your advertising accounts, business manager, domain, store and data remain your property throughout. We never hold them as leverage.
  • Any asset built for you and paid for in full is yours. Internal tools, templates, frameworks and processes we used to produce it remain ours.
  • Files and records are retained or deleted in line with our Privacy Policy.

8. Cancellation by us

We may cancel any engagement with 30 days written notice.

We may cancel immediately, with no notice period, where there is non payment, abusive or discriminatory conduct toward our team, illegal activity, or an instruction that would breach advertising platform policy or applicable law.

9. Restarting after cancellation

Returning clients are welcome, subject to available capacity. A restarted engagement is priced at our current rates, not the rates of the previous agreement, and a new onboarding period applies.
